HubSpot Integration

At Coachbar, we aim to simplify customer journey management by integrating with HubSpot for seamless data synchronization between the two systems.


Referral sync


All claimed referrals can be synced to your own HubSpot account and linked to the appropriate pipeline. This can be done by purchasing the "System integration" service from the Coachbar Services section. Click on "view details" to read more on the service.




By clicking "buy now," you can use 2 credits to redeem the service. Your request will be added to the Coachbar team's list so they can get back to you. After the request is completed, it will move to the completed tab.

Field mapping for referrals between Coachbar and HubSpot


The fields in the following mapping are hardcoded and cannot be altered. We do not display these fields for mapping; we handle the mapping ourselves and no changes are possible.

Note: Coachbar creates two types of objects in HubSpot: Company and Contact where the data from Coachbar is synced into these two objects.

Integrating HubSpot

Note: Please ensure you are logged in to your HubSpot account before following the instructions.

Under settings >> Integration, you will find the option to connect your Coachbar account to HubSpot. To proceed ahead, please press the "Connect" button. 





After clicking the "Connect" button, you will be directed to a page asking you to select your HubSpot account to continue. Select the correct account and proceed ahead by clicking the "Choose Account" button. Read through the access requirements that Coachbar needs from HubSpot, and click the "Connect app" button.



Once connected, you will be re-directed to Coachbar as shown below.

Note: Contacts created in HubSpot will now appear in the referral tab of the Coachbar portal based on your mapping and syncing preferences.

Under the settings section, we have the following options.


  • A toggle to enable auto-sync

  • A button to disconnect the integration between your Coachbar and HubSpot account

  • Option to select the sync direction. You may choose between three options.
    • Data syncs between HubSpot and Coachbar: Data synchronization between Coachbar and HubSpot ensures new and updated object information is reflected on both platforms. If records exist on both platforms, their properties will be merged.
    • Data syncs only to HubSpot from Coachbar: Data will sync from Coachbar to HubSpot for all new and updated object information. 
    • Data syncs only to Coachbar from HubSpot: Data will only sync from HubSpot to Coachbar for new and updated object information.

Note: Contacts can be synced manually to update changes on both sides.

  • Resolve Data Conflicts. This essentially defines the master source for the data.
    • Default HubSpot: When the Default HubSpot setting is enabled, all data within Coachbar will be replaced by data from HubSpot. 
    • Default Coachbar: By choosing Default Coachbar, only new referrals will be created and HubSpot data will not overwrite existing Coachbar data.

  • Sync Historical Data if needed.

  • A table for mapping the Coachbar status of a referral to the HubSpot Lead status. (In order to synchronize information from HS to Coachbar, mapping is mandatory. It is possible to map one Coachbar status value to several values of HubSpot Lead Status)

  • A table for mapping Coachbar referral fields to HubSpot lead fields. (This shows up only if you have enabled custom fields in HubSpot)

Note: The Coachbar field dropdown displays a list of statuses/fields from referrals in Coachbar while the HubSpot field dropdown displays a list of all pulled statuses/fields of leads from HubSpot.

The integration logs tab essentially displays sync history and errors encountered during the sync.
