Learning Management System (LMS)

The Learning Management System (LMS) is a valuable tool for sharing software materials and content with partners. The LMS section is divided into a few main categories, which will be covered in this article.

Assets


The Assets section in the portal can be used to store materials intended for sharing with partners. These may include marketing content (such as logos, banners, and ads), case studies, success stories, learning resources, and more. To add materials, navigate to the LMS section and select Assets.


Let's start with creating a new folder. Click on New >> Add folder, enter a title, and create.




Once the folder is created, it will appear as shown below.



Clicking on the folder name opens it, after which selecting "New" allows uploading of files and folders into the main directory.



When uploading files, you can either enter a public URL or upload a file from your device.



Once uploaded, this is how it will appear.


 

Then add tags and share this to all the connected partners directly from here.




Once shared, this will appear on the Partner's Coachbar portal.

Co-Branding Assets

The Co-Branding Assets feature enables users to create, customize, share, and manage co-branded marketing assets. This functionality is accessible under the LMS tab via the Co-Branding submenu. Users can create assets and organize them into folders while maintaining control over editing, approval, and distribution processes.

Folder Management

  1. Create a Folder: Organize assets into structured categories. 


  2. Move Assets: Relocate assets between folders or to the root directory. 


  3. Delete Folders:

  • Only assets in Approved or Draft status can be deleted.

  • Attempts to delete assets in other statuses will result in an error message.

Viewing Options

Users can toggle between:

  • List View: Displays all assets in a structured table format.

  • Create View: Provides a preview along with available actions.


Creating a Co-Branding Assets

  1. Navigate to LMS > Co-Branding.

  2. Select Create Asset.


  3. Choose a template:

    • Success Story

    • Advertisement


  4. Customize the asset:

    • Modify colors and images.

    • Drag and drop sections.

    • Apply themes for uniform branding.

  5. Dynmaic Placeholders for Real-Time Branding 

    Co-branded assets now support dynamic placeholders that automatically populate with partner-specific data such as Partner Name, Logo, Website, and Contact Information. PDF templates or default layouts can be enhanced through real-time data binding, ensuring consistent and accurate branding across all shared content.

  6. Preview the asset before saving changes.


    An enhanced live preview feature now displays co-branded assets with actual partner data prior to finalization. Additionally, a public shareable link can be generated, privoviding a simplified method for external preview collaboration without requiring authent

        7. Click Update to finalize.


 

      

 8. Creating a Co-Branding Asset

 A new lone function enables the duplication of existing co-branded assets for reuse. This feature is particularly useful when simialr layout s or messagig are required for multiple partners, allowing starting from a blank template.     

Sharing and Collaboration

  1. Click Share to distribute the asset with partners.


  2. Sharing and Collaboration

    Co-branded assets can now be distributed to multiple partners simultaneously, with an option to enable or disable approval workflows. For trusted relationships, assets may be shared without approval to accelerate distribution; for other partners, standard review and approval steps remain available.

  3. The asset appears in the Shared for Review status until editing begins.

  4. While in this status, modifications can still be made by the provider.

  5. Once the partner starts editing, the provider's editing access is restricted, and the status updates to In Review by Partner.


  6. The partner can make changes and submit them for approval.

  7. The provider reviews and either approves or requests further changes.

  8. Upon approval, the status updates to Approved on both provider and partner sides.

Statuses and Actions

Each asset progresses through the following statuses, with unique permitted actions at each stage:

  • Draft: Initial stage where edits are unrestricted.

  • Shared for Review: Shared but not yet edited by the partner.

  • In Review by Partner: Partner has begun editing, restricting provider modifications.

  • In Review: Co-branding assets are under evaluation before approval.

  • Waiting for Approval: Partner has submitted for provider approval.

  • Approved: Finalized asset, available for download.

Export and Download




Co-branded assets much be exported in either Word or HTML format prior to being downloaded.

  • Once export is completed, the Download button becomes available.
  • Assets in Approved status are accessible for download by both the provider and the partner, 
  • To maintain an organized workspace, all assets not marked as Draft or Approved are subject to automatic deletion after 14 days. 





Future Enhancements

  • A revised preview mechanism will allow users to approve assets directly from the tile view without navigating into the editor.

  • Further refinements will streamline the export and download process.

Learning Portal

To enter the Learning Portal, navigate to the LMS section and then, Learning Portal.



Read through the content and then click on "Go to LMS".


This is how the portal will look like.


When you register for Coachbar, we set up a learning portal for you to create courses for your partners and internal users as well.

How to create a course using the portal

By default, the owner of the Coachbar account becomes the administrator of the learning portal, which provides the following accesses.


Under teams, the admin will be able to use and configure the following areas.


Let's create a new course!


Once you click the option, you will be able to see the below view.


You can go ahead and enter a title, description, upload images, etc, and hit save. Once saved, you will be taken to the following page.


Here, you can add modules to your course using the "Add Module" button.
 


to The upload tab allows you to upload any content including videos that can be viewed. If you wish to create your own, move to the Create tab and select one of the following.


Let's see how creating an assessment looks like


Configure your settings for the assessment using the following area.


From the questions tab, you can click on "Create New Question", to proceed further.




You can select from the available question types and key it in, and save.




Once done, you would need to assign to relevant teams. Teams meaning, your set of partners, or internal staff. Navigate to teams, all teams.


Select the relevant team.


Then, under courses, you will be able to assign a course to the specific team.


You can also see which partners have done courses by checking the partner card.
